Welcome to our NEWsletter!

We’ve transitioned our newsletter from a standard PDF to a web-based blog format to make staying updated easier and more accessible on any device. Don’t worry, we’ll still send out a monthly email directly to your inbox whenever a new edition is published so you never miss an update. If you’d like to join our email distribution list, please reach out to kmccrar1@charlotte.edu.

Coming Soon: Student Program Change (SPC) Form Moving to Softdocs

The SPC process for current students will soon be moving to Softdocs. While the core workflow will feel familiar, the new platform introduces several key enhancements to improve speed and accuracy.

What’s Changing? What’s Remaining the Same? When is it Changing?

Direct Banner Integration: Forms will write directly to Banner, significantly speeding up processing times across the University.
Enhanced Data Validation: A new template with mandatory fields ensures all submitted data is accurate and complete the first time.
Increased Transparency: Students will automatically be notified via email once their SPC is processed and directed to DegreeWorks to view the update.
Advisor Submission: To maintain academic oversight, SPC forms must be submitted by an advisor on behalf of the student.August 2026: The new process is currently under development and testing. We anticipate the new Softdocs-based process will be ready for use later this month. Watch for upcoming announcements and instructions. Until then, please continue to submit SPCs via the current process.

Credit by Exam Reminder

Excerpt from the policy: Students cannot receive credit by examination for any course they have already received a passing or failing grade at UNC Charlotte. If CBE results arrive in the Office of the Registrar and the student has already attempted the course, we will not process to align with the policy.

Official Academic Calendar

Charlotte offers several calendars. There is the Academic Calendar (official), a Google Calendar version of the Academic Calendar, and an Events calendar within my.Charlotte.edu. If you ever have doubts about a date, please reference the official Academic Calendar. The Google Calendar is helpful because it allows you to add the academic calendar to your personal calendar. Our goal is to ensure that the dates are in sync, but if there is ever a question, it’s the official Academic Calendar that you should consult.

Student Program, Substitution & Waiver Submission Deadline

Submit all Student Program Changes, Substitution & Waiver Petitions, and any other petition types which impact the degree-applicability of a student’s fall course load by August 21 to ensure they are processed in time for fall Financial Aid (CPOS) eligibility.  Requests submitted after August 21 will still be processed, but they might not be considered by CPOS when finalizing the student’s Financial Aid eligibility for the fall term.

Got Approver Updates?

The start of the new academic year is a great time to ensure all of your approvers are up to date. Submitting your approver edits now will ensure that requests are routed to the correct approvers throughout the term.

New Faculty or Advisor…Welcome!

If you’re a new faculty member, we want to welcome you to UNC Charlotte, but also let you know that the Office of the Registrar is a great resource and we’re ready to help you as you settle in at Charlotte. If you have a new faculty or staff member in your department, please share our newsletter with them. We’re happy to add them to our distribution list, if they want to receive monthly. 2026-2027 AY is going to be great! New faculty…look out for an email with more details in the coming weeks.

Records Team Important Dates & Reminders:

  • Academic Suspension Appeal Deadline – August 11, 2026 at 11:59pm
  • All Reconsidered Appeals Must Be Submitted by August 17, 2026 at 11:59pm

As a reminder, please pop into the academic suspension appeal tool and review any pending academic suspension appeals you may have. The Records team will continue to send reminder notifications for your convenience. If you are planning to review an appeal at the completion of summer, please switch the appeal status to “defer to summer” so admin and students are aware when requesting status updates. It is crucial that once the initial appeal deadline concludes, decisions are made swiftly so students have time to meet with their advisors and submit a reconsideration appeal before the deadline, if they choose to.

If you have any questions or concerns, please don’t hesitate to contact us at Records-group@charlotte.edu.
